Four statuses. Four different meanings.

A website acknowledgement is not a confirmation of all the stages below. A provisional hold and each confirmation are communicated separately in writing. Booking and departure confirmation may arrive together, but both must be stated explicitly.

Request received

Your enquiry or booking request has been sent to our team for review. The website reference acknowledges your request only: no place is held and neither your booking nor the departure is confirmed.

Place provisionally held

If we offer a temporary hold, we will confirm it separately in writing, naming the departure, places held and expiry time. A hold is not a confirmed booking or departure. It expires unless the stated booking steps are completed.

Booking confirmed

We have received your acceptance of the programme, total price and conditions, received your agreed 20% deposit and sent written booking confirmation. This confirms your booking; the message will separately state whether the departure is confirmed or still subject to the minimum group size and decision deadline.

Departure confirmed

We have explicitly confirmed in writing that the agreed departure will go ahead. It is no longer conditional on reaching the minimum group size. You can then arrange flights within the agreed arrival and return windows, and share your flight details for the transfer. Other contractual cancellation provisions and your statutory rights still apply.

When is the departure confirmed?

Small-group departures require at least 3 confirmed guests in total and have a maximum of 4, excluding the driver-guide. You can enquire for 1–4 people in your own party. An enquiry or provisional hold does not count as a confirmed participant.

We will confirm in writing whether your departure will go ahead no later than 7 calendar days before the agreed start date. Your offer and contract will state the exact confirmation date before you book. A listed date, received request or paid deposit alone does not confirm the departure.

We can confirm a departure earlier once the required confirmed bookings and arrangements are in place. After written departure confirmation, we will not cancel solely because the group later falls below the minimum.

If the group is not full

If the minimum is not reached by the applicable cancellation deadline, we may confirm that we will operate with fewer guests at your agreed price. Otherwise we will cancel the departure and refund all payments made to us for the tour without undue delay and no later than 14 days after cancellation. A different date or tour is an option only if you expressly agree; it is not a replacement for your right to a refund.

Requests made within 7 days of the start date can proceed to a booking only for a departure already confirmed in writing or a separately confirmed private tour. We will tell you the status before you accept an offer.

Separately booked flights are not part of the tour price. Wait for our written departure confirmation before buying them. These arrangements do not limit your statutory rights.

20% to book. 80% when we meet.

Review and accept the programme, total price and booking conditions first, including the departure status, minimum group size and decision deadline. We’ll then email an invoice for your 20% deposit. Pay the remaining 80% in person before your tour begins.

• Agree the offer first. Read the programme, price, included services, departure status, minimum group size, decision date and contract conditions before accepting or paying.
• Receive the deposit invoice. The invoice is for 20% of the total booking price and states the payment instructions and due date. It counts towards your tour price.
• Receive written booking confirmation. Your booking is confirmed after you accept the offer and conditions, we receive your 20% deposit and we send written booking confirmation. Departure confirmation is separate: please wait for our written confirmation that the tour will go ahead before booking flights.
• Pay the remaining 80% in person. The balance is due when you meet us, before the tour begins. Your offer states the amount, currency and accepted payment methods.

The same payment schedule applies to small-group and private tours.

Changes, cancellations & refunds

Cancellation, amendment and refund terms, including the minimum group size and the deadline for a departure decision, will be provided before you accept the offer or pay the deposit. Your contract explains any traveller cancellation charges and treatment of the deposit. Cancellation by us for insufficient participants is handled as described above, including a full refund of tour payments within 14 days.

Small-group or private?

Join a group of up to 4 guests in total, or choose a private road trip exclusively for your own party. You travel by passenger car with an English-speaking driver-guide, who is additional to the four-guest maximum.

A private tour is exclusively for your party of 1–4 guests and does not depend on selling places to other travellers. Its date and arrangements still require our written booking and departure confirmation.

Every 8, 10 and 12-day itinerary is available in either format, subject to availability. Your private-tour offer will state the full price, room arrangements and conditions before you book.

Confirm the road trip. Then book your flights.

Each tour begins with an airport or agreed railway-station welcome and returns to its starting city: Berlin for A Christmas Road Trip from Berlin (8 days), Munich for Christmas Capitals & Storybook Towns (10 days), and Frankfurt am Main for The Grand Christmas Road Trip (12 days).

Airport or agreed railway-station pick-up and the return transfer at the end of the tour are included in every tariff. Your offer will confirm the meeting points and suitable arrival and return windows. Tell us about your travel constraints when you enquire; you do not need purchased tickets to send a request.

Buying flights does not reserve a place or confirm a booking. Wait for our written departure confirmation, check the agreed arrival and return windows, then book your flights and send us your flight details so we can finalise your airport pick-up.

If you already have flights, tell us their details when you enquire. Tickets do not confirm your place, and we must check that the departure and transfer arrangements fit.

A seasonal programme

The route outlines are proposed plans for the Christmas market season. Your programme and accommodation arrangements will be agreed before booking, with visits checked against the calendars for your departure. Weather, local events or market changes may affect the programme under the conditions explained in your contract.

Accommodation during the tour is included in every tariff. Economy includes accommodation in double or twin rooms in budget hotels, hostels or apartments. Exact accommodation, room arrangements and nights will be stated in your offer. Meals are not included, except daily breakfasts with Comfort Double / Twin and Comfort Single. Economy does not include breakfast. Admission tickets to castles, museums, paid Christmas markets and other attractions are not included and are paid separately.

After you send your request

The website shows a reference after your enquiry or booking request has been sent to our team for review. The status is Request received · awaiting review. Keep that reference if you contact us about the same plans. These forms do not send you an automatic receipt email; our team replies to the email address you provide.

This acknowledges your request only. No place is held, your booking and departure are not confirmed, and no payment has been taken.

Our team reviews availability and sends your offer for discussion. A temporary hold is offered only by a separate written message with an expiry time. The on-screen acknowledgement does not complete a contract or confirm a departure.
